Levy Payments

A bar coded levy payment account is issued quarterly to all owners and levy payments may be made at any post office at which time a receipt will be issued or alternatively payment may be made online via BPAY or through the DEFT System or by cheque through the mail.

 

Accounting Services

All funds received are banked in to an approved trust account that has statutory approval under the Property Stock and Business Agents Act 2002, and is subject to annual audit by registered auditors.
 

A detailed financial report is provided to the treasurer on a quarterly basis. Annual accounts are prepared for presentation and adoption at the annual general meeting. A cash flow budget is prepared for presentation and adoption at the annual general meeting.
 

Arrangements will be made for the preparation of Income Tax returns, business activity statements, maintenance of wage records, PAYE tax deductions, superannuation records and workers compensation records where strata schemes have engaged full time employees.

 

Secretarial Services

  • Attend to inward and outward correspondence.
  • Maintain the strata roll.
  • Arrange the AGM each year and any other meetings as required.
  • Prepare, process and issue statutory certificates.
  • Provide general supervision of the strata schemes records during record inspections.
  • Maintain custody of the common seal and the common property Title Deed.
  • Liaise with the executive committee on day to day matters relating to the administration of your strata scheme.
  • Arrange for statutory insurance renewals and an independent valuation for insurance renewal process.
  • Prepare and submit insurance claims.
  • Make applications and submissions to the Office of Fair Trading as directed by the executive committee for such matters as by-law compliance and any other relevant matters.
  • Provide general advice and assistance to the executive committee to assist them in complying with the strata schemes legal obligation in respect of the Act.

 

General

  • Meetings – Arrange, attend and chair meetings and provide secretarial services for general meetings.
  • Disputes – Arbitrate and negotiate with owners and residents and apply the by-laws as fairly as possible to achieve peaceful harmony within your community.
  • By-Laws – Make recommendations for the adoption of new or amended by-laws where considered appropriate
  • Repairs and Maintenance – Arrange for building maintenance such as lawns, gardens, cleaning, repairs, etc to be undertaken by independent trades people approved by the executive committee.
  • Consultation – Staff members will be available for consultation to assist in the resolution of strata problems and queries.
  • Disbursements – The Company accepts full responsibility for the disbursement of the strata schemes funds subject to instructions from the executive committee.
  • Insurance Claims – Make all permissible claims under the provisions of the insurance policy.
  • Credit Control – Implement credit control procedures for the collection of overdue levy payments in accordance with the instructions from the executive committee.
  • By-Law Enforcement – Undertake statutory enforcements as directed by the executive committee to ensure compliance with your strata schemes by-laws.
  • Change of Owners – All new owners will be notified by this office upon receipt of statutory notification from the purchasers conveyancer in respect of the strata schemes by-laws and expected general behaviour prior to moving into the property.
  • Continuity of Service – This office engages 26 staff to attend to our clients needs thereby ensuring that in the event of absences arising from sick leave, annual leave, long service leave (may staff have been with the office more than 20 years) qualified staff will be available to ensure continuity of services to your strata scheme.
  • Disclosure – In accordance with the standard industry practise this office has a number of agencies with the major strata title insurers with whom we have commission arrangements which is taken into account in the determination of the gross management fees rather than providing a rebate of the commission upon which your strata scheme may incur taxation at the current prescribed rate.
  • Statutory Certificates – Issue statutory certificates as required for which the strata scheme will receive the statutory fee from the applicant and pay this office the statutory fee for the provisions of the additional services.
  • Office Hours – Office hours 9.00am to 5.00pm Monday to Friday and emergency services from 9.00am to midday on Saturdays.
  • Emergency Services – Emergency after hours tradesmen’s telephone contact numbers are provided to all our strata scheme clients in the event of an after hours emergency such as blocked sewerage, burst water pipes and electrical faults arising.
